The Complete Sydney Downsizing & Moving Checklist by Downsize and Move

A practical Australian guide to decluttering, downsizing and moving to a smaller home, apartment, retirement village or aged care accommodation.

Downsizing is about much more than packing boxes and booking a removalist. You may need to decide what furniture will fit in your new home, what should go to family, what could be sold, what can be donated and what needs to be responsibly disposed of.

After nearly 20 years of helping people downsize and move across Sydney, we've found that starting early and following a clear plan can make the entire process much easier. We've created this Sydney downsizing and moving checklist to help you work through the process step by step.

Step-by-Step Guide

The Complete Sydney Downsizing & Moving Checklist

If you have more time to plan your move, this detailed checklist takes you through the downsizing process step by step. It is especially useful when moving to a smaller home, apartment, retirement village or aged care accommodation in Sydney.

Getting Started

8–12 Weeks Before Moving: Plan Your Downsizing

Before you start packing, take time to understand your new home and decide what you genuinely want to take with you.

Unsure which furniture will work in the new property? Read our guide on what furniture will fit when downsizing.

Dan's Tip

Don't start by asking, “What can I fit into the new home?” Start by asking, “What do I actually want in my new home?” A smaller home usually feels much more comfortable when it isn't filled to capacity.

Room-by-Room Decluttering

6–8 Weeks Before Moving: Declutter Room by Room

Trying to declutter an entire home at once can become overwhelming. Work through one room or area at a time.

For each item, choose one of five categories:

KEEP FAMILY SELL DONATE DISPOSE / RECYCLE

Kitchen

Bedrooms & Wardrobes

Living & Dining Areas

Study, Books & Paperwork

Garage, Shed & Storage Areas

Dan's Tip

Start with the easiest decisions rather than the most sentimental belongings. Clearing everyday items first builds momentum and gives you more time to make thoughtful decisions about possessions with emotional value.

Give Belongings a Destination

4–6 Weeks Before Moving: Sell, Donate & Dispose

Once you know what isn't moving with you, decide where those belongings should go. Not everything needs to end up in storage or landfill.

Items With Resale Value

Depending on the type, condition and likely value of the items, Sydney auction houses such as Lawsons Auctioneers, Theodore Bruce Auctioneers & Valuers and Raffan Kelaher & Thomas (RK&T) may be worth considering. Always check whether your particular items are suitable for sale before arranging transport.

Items Suitable for Donation

Furniture, clothing and household items in suitable condition may be accepted by Australian organisations such as The Salvation Army, Vinnies and Savers.

Recycling & Disposal

Dan's Tip

Don't send everything you don't want straight to the tip. I prefer to separate items in this order: family first, then items with resale potential, suitable donations, recycling and finally disposal. It gives useful belongings the best chance of finding another home.

Getting Ready to Move

2–4 Weeks Before Moving: Organise the Move

By this stage, you should have a much clearer idea of what is moving with you. Now organise the practical details so moving day runs smoothly.

If you would prefer one team to manage the relocation, see our house relocation services in Sydney.

Dan's Tip

If you're moving into an apartment, retirement village or aged care facility, check the building's moving rules early. Lift bookings, loading access and restricted moving times can affect the entire day's schedule.

Almost Ready

1 Week Before Moving: Final Preparations

The final week should be about finishing the packing and checking details rather than making major decisions about what to keep.

Dan's Tip

Pack one clearly labelled essentials box for your first night. Include things such as the kettle, tea or coffee, chargers, toiletries and basic kitchen items so you don't have to search through boxes after a long moving day.

The Big Day

Moving Day Checklist

Dan's Tip

Think about unpacking before the truck is loaded. When boxes are clearly labelled and furniture already has an allocated position, it can be placed correctly the first time.

Making the New Place Home

Unpacking & Settling Into Your Smaller Home

A successful downsizing move doesn't finish when the removal truck arrives. How the new home is set up can make a major difference to how comfortable and organised it feels.

Dan's Tip

I often focus just as much on unpacking as packing. The goal isn't simply to get every box inside — it's to create a comfortable, organised home where the things you use regularly are easy to find and access.

Australian Moving Administration

Moving also means updating your address with organisations and services that need to contact you. Simply work through the ones relevant to you.

Government & Important Records

Financial & Professional

Home & Everyday Services

Dan's Tip

Redirecting your mail is useful, but don't rely on redirection alone. Keep a simple list and update important organisations directly as you go.

Moving Into a Different Lifestyle

Downsizing Into Retirement Living or Aged Care

Moving from a long-term family home into retirement living or aged care can require more planning than an ordinary move. The new home may be considerably smaller and the facility may have specific moving requirements.

You may also find our retirement community moving services and aged care relocation services in Sydney helpful when planning this type of move.

Dan's Tip

When moving into a much smaller home, prioritise comfort and familiarity rather than quantity. A favourite chair, photographs and a few meaningful pieces can make the new space feel like home without overcrowding it.

Think Before You Store

Do You Really Need Extra Storage?

Storage can be useful when there is a genuine short-term need, but it shouldn't automatically become the destination for everything you can't decide about. Before paying for additional storage, consider whether the belongings are likely to be used again and whether the ongoing cost is worthwhile.

If storage is genuinely necessary, read about our short-term and long-term storage options.

Dan's Tip

In my experience, belongings placed into storage simply because a decision feels too difficult are often rarely revisited. Use storage when it serves a clear purpose, not simply to postpone the downsizing decision.

Before You Hand Over the Keys

Final Property Check

Dan's Tip

The garage, storage cage and high cupboards are some of the most commonly forgotten areas. Do the final walkthrough slowly and open every cupboard and door rather than relying on memory.

Frequently Asked Questions

Sydney Downsizing & Moving Questions

Yes. We help Sydney clients prepare for and move into smaller homes, retirement communities and aged care accommodation, including downsizing, packing, moving and unpacking.
